Validure ERP

Record a customer receipt with FIFO or manual allocation

You record money a customer pays you in Receipts (Payment In) → Receive payment, and Validure ERP allocates it to the customer's open invoices oldest-first (FIFO) or in the amounts you type. Any amount left over is kept on the customer's account as an advance.

Before you record a receipt

  • You need the Company Owner, Accountant or Sales executive role.
  • The money needs a bank or cash account to go into; set banks up in Bank accounts.

Steps to record a customer receipt in Validure ERP

  1. Open Treasury → Receipts (Payment In) and choose Receive payment, or use Receive payment on the dashboard.Open the Receive payment screen in the demo
  2. Choose the customer. Their outstanding invoices are listed with the balance still due on each.
  3. Enter the date, the amount and the mode: Cash, Bank, Cheque, UPI or NEFT/RTGS. Choose the bank or cash account, and add the cheque or UTR number as the reference.
  4. Choose how to allocate. Auto-allocate (FIFO) pays the invoices with the oldest due date first. Allocate manually lets you type the amount for each invoice, for example to leave out a bill the customer disputes.
  5. Check the amount allocated and the amount left over, which becomes an advance.
  6. Choose Record receipt.

What a recorded receipt changes

Each invoice's status updates: Paid when nothing is left to pay, Partially Paid when some is.

FIFO example (demo data): New Market Provision Stores paid ₹30,000.00 by cheque on 20 Sep 2026, recorded as RCT/2026-27/0186.

Common questions about customer receipts

What happens if the customer pays more than they owe?

Validure ERP keeps the excess on the customer's account as an advance, which can later be adjusted against an invoice.

Do vendor payments work the same way?

Yes. Payments (Payment Out) settle purchase bills with the same FIFO or manual allocation.
